Job Summary
We are seeking a dependable, organized, and detailed-oriented Office Manager to join our team. The Office Manager will oversee the daily administrative operations of our agency and provide support to management, staff, individuals we serve, and their families. The ideal Candidate will be professional, compassionate, highly organized, and comfortable working in a fast pace environment. Experience with DODD services, Medicaid waiver programs, or developmental disability service is preferred.
Responsibilities
- Oversee the daily operations of the office and ensure administrative tasks are complete efficiently.
- Maintain accurate employee, individual, and agency records in accordance with confidentiality and DODD requirements.
- Assist with employee onboarding, scheduling, timekeeping, personnel documentation.
- Monitor required documentation, certifications, training records, and compliance deadlines.
- Assist with DODD-related documentation, audits, inspection, and quality-assurance activities.
- Communicate professionally with individuals served, guardians/families, employees, SSA, and other service providers.
- Process invoices, billing paperwork, payroll documentation, and other administrative records as needed.
- Order office supplies and assist with vendors and facility coordination.
- Support the operational manager/Owner with special projects and daily operation needs.
- Protect confidential information and maintain compliance with HIPPA and Agency policies.
- Maintain organized electronic and paper filings.
Qualifications
- High school diploma/GED required, some college preferred
- Previous experience as an Office Manager or similar position preferred
- Understanding of office equipment, systems, and procedures
- Skilled in Microsoft Office, Excel, and Outlook, and electronic documentation system
- Excellent time management skills and ability to prioritize multiple tasks
- Strong problem-solving skills and attention to detail
- Excellent verbal and written communication skills
Compensation: $18.00 - $20.00 per hour
